How Many Coaches Do I Need for 100 People?

25 May 20264 min read

One of the most common questions we receive is: how many coaches do I need for my group? It sounds simple, but the answer depends on more than just headcount. Here's a practical guide.

The Basic Calculation

The simplest approach is to divide your passenger count by the capacity of your chosen vehicle:

  • 16-seat minibus: 100 passengers = 7 vehicles
  • 23-seat executive coach: 100 passengers = 5 vehicles
  • 36-seat midi coach: 100 passengers = 3 vehicles
  • 53-seat standard coach: 100 passengers = 2 vehicles
  • 79-seat double decker: 100 passengers = 2 vehicles

However, never fill a vehicle to its absolute maximum. A 10–15% buffer is recommended to allow for luggage, comfort, and any last-minute additions to your group.

Practical Recommendation for 100 People

For most events, two 53-seat coaches is the most cost-effective and practical solution for 100 passengers. This gives you a small buffer, keeps the group together, and simplifies logistics.

If your group requires more comfort or has significant luggage — such as a sports team or a multi-day tour — consider three 36-seat midi coaches instead. The additional vehicle cost is offset by the improved passenger experience.

Multiple Pickup Points

If your group is travelling from different locations, you have two options:

1. Staggered pickups: One or two coaches follow a route collecting passengers from multiple points before heading to the destination. 2. Separate vehicles per location: Each pickup point has its own dedicated vehicle, which then meets the others at the destination.

Option 2 is faster and more reliable for time-sensitive events. Option 1 is more cost-effective for dispersed groups with flexible timing.

Coordinating Multiple Coaches

When running multiple vehicles, communication is everything. A good operator will assign a lead driver who coordinates with the others and keeps your event manager updated in real time. Ensure all vehicles depart at the same time and have the same destination briefing.

For large events, consider appointing a group marshal — someone on the ground who manages boarding and ensures no one is left behind.

What Does It Cost for 100 People?

Using two 53-seat coaches as the baseline:

  • Standard coaches: from £1,920 per day (2 × £960)
  • Executive coaches: from £1,440 per day (2 × £720 for 36-seat)
  • Double decker: from £1,450 per day (1 vehicle, if 79-seat capacity is sufficient)

These are starting prices. For a tailored quote based on your specific route and requirements, contact our team directly.

Key Questions to Ask Your Operator

Before confirming a multi-vehicle booking, ask:

  • Are all vehicles from the same fleet, ensuring consistent quality?
  • Will the same operator manage all vehicles, or will they be subcontracted?
  • Is there a lead driver or coordinator for the convoy?
  • What happens if one vehicle breaks down — is there a contingency plan?
  • Are all drivers briefed on the same route and schedule?

SJT Coaches manages all vehicles in-house with no subcontracting, ensuring consistent quality and seamless coordination across every vehicle in your booking.
